Updating your voice mail can boost your efficiency and demonstrate your professionalism, according to owner of InspectRealestate.com.au Andrew Reece.
Mr Reece said he advised property managers to get into the habit of updating their mobile and landline voice mail every day.
“In my view, updating your voice mail recording every day will be the easiest job you will do all day. It only takes a couple of minutes and can bring you enormous benefits,” he said.
Mr Reece’s tip to property managers was to customise messages to suit their personality, role and work commitments and ensure their messages had five key elements: name, day and date, the reason for their absence or missing calls, the time they expected to complete tasks, and a commitment to return to the call.
“By updating your voice mail, landline and mobile every day, you start to impose a degree of discipline upon your work practices that will force you to be more efficient, while sending a strong, professional message to clients,” he said.
In his previous business, Mr Reece was the co-owner of a property management agency with more than 1,700 listings and more than 30 staff.
Team members were required, as a key performance indicator, to update their voice mail each day.
“This simple use of technology had great results within our agency and contributed to the strong customer focus that we strived hard to develop," he said.
“The same principles apply when leaving a voice message – a professional approach will help improve communication and leave a positive impression.”
